Subscription Terms
The billing-specific part of our Terms of Service: what you are buying, how you are charged, and how to cancel.
These Subscription Terms are part of our Terms of Service, not a separate agreement. The Terms of Service are the whole agreement between you andSEE Change Happen Ltd, a company registered in England and Wales (Company No. 13138905). This page states the billing detail — access levels, payment, renewals, cancellation, refunds and fair usage — in one place, because that is what people come here to check. Everything else is stated once, on the Terms of Service.
Where this page and the Terms of Service differ, the Terms of Service govern. Nothing here is intended to add to, reduce or vary them.
This is a business-to-business service. The Toolkit is designed for use by organisations — including employers, public bodies, charities, consultancies, and professional practitioners — to support their governance, policy development, and inclusion work. It is not a consumer service for personal use. By subscribing, you confirm that you are acting in a professional or organisational capacity, that you have authority to bind your organisation, and that you have read and agree to the Terms of Service and ourPrivacy Policy.
1. What You Are Purchasing
The Trans Inclusion Toolkit offers tiered access to research-based resources, AI-powered tools, and structured frameworks for trans and nonbinary inclusion in UK organisations. Paid subscriptions unlock capabilities beyond the free Registered level.
Access levels
Access levels differ by capability — what each level lets you do — not by how many times you may run any individual tool. We do not sell, and do not publish, per-tool monthly quotas. The levels are:
- Registered (free) — explore the toolkit, take the diagnostic self-assessment, and use Quinn AI chat. Outputs are shown on screen and are ephemeral: no DocuVault™ storage and no export
- Practitioner (paid) — full tool access for one named user, with your work saved to DocuVault™ and PDF export
- Professional (paid) — everything in Practitioner plus the assurance layer: evidence pack, editable Word export, Board Briefing, and full corpus
- Enterprise (paid) — seats for multiple named users, a shared DocuVault™, and an organisation-level view. Enterprise seats are purchased self-serve, at the seat prices, bands and minimum seat count published on our Pricing page at the time of purchase. Schedule B of the Terms of Service governs Enterprise licences and takes effect when Enterprise licensing launches
All AI-powered features, at every level, are subject to fair-use limits (seeSection 8). The specific features included at each level are described on our Pricing page. We may add, modify, or discontinue individual features within a level, provided the overall value of your subscription is maintained. We will give reasonable notice of material changes.
Creating an account
Account creation is currently gated. Creating a new account requires a valid pilot or trial code; without one you are routed to ourRegister Interest page rather than a sign-up form. Signing in to an existing account is not affected. We will open self-serve sign-up when pilot invitations have gone out.

Practitioner is the working level for an individual consultant or practitioner: every tool is available, and what you produce is kept in DocuVault™ and can be exported as PDF.
Professional adds the assurance layer — the outputs you hand to someone else to rely on. Enterprise extends that across an organisation, with seats, a shared vault and an organisation-level view.
What subscriptions are not
Your subscription provides access to self-serve educational resources and tools. It does not include:
- Legal, HR, or professional advice — see the no-legal-advice boundary atclause 3 of the Terms of Service
- Bespoke consulting, coaching, or advisory services
- A guarantee that any tool output (including AI-generated content) is accurate, complete, or suitable for your organisation's specific circumstances
- Dedicated support or guaranteed response times
- Multi-user or organisation-wide access on the Practitioner and Professional levels— each of those subscriptions covers a single named user. Multi-user access is bought as Enterprise seats
- Uniform depth of coverage across the whole United Kingdom — our coverage is deepest for England and Wales; Scotland and Northern Ireland coverage varies by topic

2. Licences, Sign-In and Devices
Per-user licences
Practitioner and Professional subscriptions are licensed to a single named user; Enterprise is licensed per seat, one seat per named user. Each licence is personal to the named user it is issued to and may not be shared with, or transferred to, anyone else — seeclause 5.2 of the Terms of Service.
Passwordless sign-in
There are no passwords. Each user signs in with their personal email address and a 6-digit one-time code sent to that address. You are responsible for keeping access to that email account secure and for not sharing or forwarding sign-in codes. If you believe your email account or your toolkit access has been compromised, contact us promptly so we can secure the account.
Devices
A licence is expected to be used by one person, which in practice means a small number of devices. A licence covers two concurrent devices. You can retire a registered device at any time from your account, which frees the slot for a new device. Persistent use by more than one person, or attempts to circumvent the device limit, is a breach of theacceptable use terms.
3. Billing and Payment
Pricing
Current subscription prices are displayed on our Pricing page. All prices are listed exclusive of VAT. UK VAT at the prevailing rate (currently 20%) will be added at checkout where applicable. Our VAT registration number is GB368976815.
Payment processing
Payments are processed securely by Stripe, our payment processor. When you subscribe, you are redirected to Stripe's hosted checkout page to enter your payment details.We do not see, store, or have access to your full card number or payment credentials. All payment data is handled by Stripe in accordance with PCI DSS Level 1 standards.
By subscribing, you also agree toStripe's Terms of Service as they apply to end users.
Billing cycle
Subscriptions are available on a monthly or annual billing cycle, as selected at checkout. Your subscription will automatically renew at the end of each billing period at the then-current price, unless cancelled before the renewal date.
Price changes
We may adjust subscription prices from time to time. If we increase the price of your subscription, we will give you at least 30 days' notice before the change takes effect. The new price will apply from your next renewal date after the notice period. If you do not wish to continue at the new price, you may cancel before your next renewal.
Failed payments
If a renewal payment fails, Stripe will retry the charge according to its standard retry schedule. If payment cannot be collected after multiple attempts, your subscription may be suspended or cancelled. We will make reasonable efforts to notify you of payment failures via email.
Managing your subscription
Everything to do with your subscription is reached the same way: open theAccount area in the app and choose"Manage subscription". If you already have a paid subscription, that takes you to the Stripe billing portal, where you can view and download invoices, update your payment method, switch plan, or cancel. If you do not yet have one, it takes you to Stripe's hosted checkout to start one. There is no separate billing dashboard on this website.
4. Promotional Offers
Early Bird pricing
We may offer Early Bird pricing to a limited number of subscribers. Early Bird subscriptions provide the same features as the corresponding standard tier at a reduced rate.
The Early Bird rate is the pricing basis for that subscription, for as long as it remains continuously active. If you cancel, or a renewal is not paid, the lock ends and the price then current applies if you subscribe again.
Where we increase general pricing, the increase is applied as an uplift from your Early Bird basis — it does not reset you to standard pricing.
Early Bird availability is limited and offered on a first-come, first-served basis. We reserve the right to cap or withdraw Early Bird pricing at any time, though subscribers already holding it are not affected. This mirrors clause A.4 of theTerms of Service.
Discount codes
We may issue discount or promotional codes from time to time. These codes are subject to any specific terms stated at the time of issue, may only be used once, and cannot be combined with other offers unless explicitly stated.
5. Cancellation
You may cancel your subscription at any time: open the Account area in the app, choose "Manage subscription", and cancel from the Stripe billing portal.
When you cancel:
- Your subscription remains active until the end of your current billing period
- You will not be charged again after cancellation takes effect
- Your access level will drop to Registered (free) at the end of the billing period — the level shown as Discover on our Pricingpage. You retain your account, login, and any saved assessments, but lose access to paid features including export, and the free-account inactivity timer described inclause 8.5 of the Terms of Service starts to apply again
- You may re-subscribe at any time at the then-current price
We do not charge cancellation fees.
6. Refunds
Subscription fees are non-refundable. Cancelling stops the next renewal: you keep access for the remainder of the period you have paid for, and there isno pro-rata refund for unused time.
Nothing in this section affects statutory rights that cannot lawfully be excluded. This is the whole of our refund position, and it mirrorsclause 6.5 of the Terms of Service.
B2B service: as this is a business-to-business service, the Consumer Rights Act 2015 and the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 do not apply. Your rights are governed by theTerms of Service and applicable commercial law.

7. Changing Your Subscription
You may change your access level from the Account area in the app, via"Manage subscription". If you already subscribe, that opens the Stripe billing portal, where you can switch plan. If you are on the free Registered level, it opens Stripe's hosted checkout to take out a subscription — there is no billing portal for an account that has never paid. Changes take effect as follows:
- Upgrades — take effect immediately. You will be charged a pro-rated amount for the remainder of your current billing period, and the full upgraded price from your next renewal
- Downgrades — take effect at the end of your current billing period. You retain access to your current tier until the period expires
- Billing cycle changes (monthly to annual, or vice versa) — take effect at the next renewal
- Enterprise seat changes — adding seats takes effect immediately and is charged pro rata for the remainder of the period; reducing seats takes effect at the end of the current billing period
A pro-rated charge on an upgrade is a billing calculation, not a refund entitlement. Section 6 still applies.
8. Fair Usage Policy
We apply fair-use limits to AI features to keep the service responsive and our costs predictable. They exist to prevent excessive automated or bulk usage degrading the experience for everyone else.
We do not publish per-tool monthly quotas, because there are none. Access levels differ by capability — what each level lets you do (see Section 1) — not by how many times you may run a given tool. Current fair-use figures are available on request: email[email protected] and we will tell you what they are. Figures may be adjusted from time to time, and we will give reasonable notice of any material reduction.
What happens if you reach a limit
If you reach a fair-use limit, you will see a clear message saying that the feature is temporarily unavailable and when it resets. Your access to other features is not affected, and nothing you have already saved is affected. Limits reset automatically — there is nothing to buy and no action to take.
Monitoring and enforcement
We monitor usage to ensure fair access for all subscribers and to manage the costs of third-party AI services. If we identify usage patterns that are significantly above normal levels — for example, automated scripting, bulk data extraction, or systematic abuse of AI features — we may:
- Contact you to discuss your usage and needs
- Temporarily restrict access to affected features
- Recommend an Enterprise plan with custom allowances
- In cases of deliberate abuse, suspend or terminate your subscription
We will always attempt to contact you before taking restrictive action, except where immediate action is necessary to protect the service.
9. Suspension and Termination
Suspension and termination are governed byclauses 12 and 13 of the Terms of Service. In summary: we may suspend or end a subscription for material breach, for serious breach of acceptable use, where payment cannot be collected after reasonable retries, where the law requires it, or if we discontinue the service — in which case we will give reasonable notice.
Section 6 (Refunds) applies in every case, including where we end a subscription. Unless we terminated for a serious breach, your account and saved work remain at the free Registered level. Export your work first.

11. Reporting Issues
If you experience a billing issue, service problem, or believe your account has been compromised:
- Billing queries — email [email protected] with the subject line "Billing Query" and include your registered email address
- Service issues — email [email protected] with a description of the problem, including what you were trying to do and any error messages
- Account security — if you believe your account has been accessed without your permission, contact us immediately at [email protected]
We aim to acknowledge all queries within 2 working days and resolve billing issues within 5 working days. We cannot guarantee resolution timescales for service issues, as these may depend on third-party providers.
12. Changes to These Terms
These Subscription Terms are versioned with the Terms of Service and change with them. Any update is published on this page with a revised date and version number. We will give existing subscribers at least 30 days' notice of material changes by email before they take effect, and material changes require you to accept the new version — see clause 16 of the Terms of Service.
If you do not agree with a material change, you may cancel your subscription before it takes effect.
